Cancellation
Before Payment
If you need to cancel your participation in a course you applied for but haven’t paid for yet, you can do this yourself by selecting ‘Cancel application’ on the ‘My Courses’ page in your account. The course director will then receive an automatic message that you can no longer attend the course.
After Payment
Once you have completed your payment, you can cancel your participation by contacting the Utrecht Summerschool Office. We will then be able to cancel your application for you. You can find the refund policy below.
Refunds
If you let us know at least four weeks before the course begins that you need to cancel your participation, we can refund 85% of the course fees and the full amount of the housing fees.
If you made your payment using wire transfer we will request certain details to reimburse the fee. If you made your payment using Credit Card or IDeal/Wero, your payment will be refunded into the same account.
We cannot offer a refund if you inform us of your cancellation less than four weeks before the course begins.
Visa Cancellation
These policies remain the same if you have to cancel because you were unable to obtain the correct visa. It is your own responsibility to arrange a visa and as this can take a long time, we strongly recommend that you start these arrangements as early as possible.
Grace Period
You are allowed to cancel your participation with a full refund up until 14 days after your payment has been registered by the Utrecht Summer School. This cancellation period is no longer applicable if your payment is processed within 14 days of the start of the course. For more information, please check our Terms and Conditions.
Cancellation by the Utrecht Summer School
The Utrecht Summer School reserves the right to cancel the course. Reasons for this may be, but are not restricted to, low enrolment numbers and teacher availability. The Utrecht Summer School will inform participants within one week after the closing date (for registration) of the course by e-mail. Participants should keep this in mind when making travel arrangements. Any expenses made other than course and Utrecht Summer School housing fees, will not be reimbursed.
